Privacy Policy

This is the initial version of our Privacy Policy. We’re a young company and we keep this document current as the product evolves — material changes will be reflected here with a new “Last updated” date.

Who we are

Just Talk Shop (“Just Talk Shop,” “we,” “us”) is a field service management platform for HVAC and refrigeration contractors, operated by Just Talk Shop, Inc., a company based in Tennessee. Just Talk Shop is a business-to-business service: our customers are HVAC service companies (“shops”), not consumers.

This policy covers two things: (1) visitors to our website at fieldbrain.ai, and (2) data handled inside the Just Talk Shop product on behalf of the shops that subscribe to it.

A note on whose data this is

Most of the data inside Just Talk Shop belongs to the shop using it — including the shop’s own customer records (names, service addresses, phone numbers, job history). For that data, the shop decides what goes in and Just Talk Shop processes it on the shop’s behalf to run the service. If you are a customer of a shop that uses Just Talk Shop and you have a question about your information, contact that shop directly — they control the record, and we’ll route any request we receive to them.

What we collect

Website visitors. Our website uses Vercel Web Analytics, which collects aggregate, anonymized usage data (page views, referrers, country, device type). It does not use cookies and does not track you across sites. If you submit our contact form, we collect what you type — typically your name, email, company, and message — so we can reply.

Shop account data. When a shop signs up, we collect business contact information (company name, names, email addresses, phone numbers of the owner and staff) and account credentials, which are managed by our authentication provider, Clerk.

Shop business data. The product stores the data a shop and its technicians put into it to run the business: customer records and site locations, equipment records and photos, work orders, notes, tasks, schedules, dispatch plans, time entries, parts and purchase orders, invoices and billing records, vehicle and mileage logs, payroll-related hours, and refrigerant usage logs.

Technician communications. Technicians interact with Just Talk Shop’s AI agents through Telegram — text messages, voice notes where supported, and job photos. These messages and photos are processed to create and update work orders and are stored as part of the job record. Telegram is a third-party messaging platform with its own privacy policy; messages sent through it also pass through Telegram’s systems.

Email intake. If a shop connects a service email inbox, Just Talk Shop reads incoming messages to that inbox to identify service requests and turn them into work orders. Those emails are stored and linked to the resulting job records.

Payment information. Subscription payments are processed by Stripe (typically via ACH bank transfer). Just Talk Shop never stores your bank account or card numbers — Stripe collects and holds them under its own security and privacy terms. We store only what we need to run billing: your plan, invoice history, and payment status.

Usage and log data. Like most software, we keep operational logs (requests, errors, activity events such as “work order completed” or “technician clocked in”) to run and troubleshoot the service.

How we use data

  • To provide the service. Turning technician messages into work orders, scheduling and dispatch, routing, invoicing, reporting — everything the product does.
  • AI processing. Just Talk Shop is an AI-native product. Data in the service — including technician messages, photos, work orders, and the shop’s customer records — is processed by large language models to run features like dispatch planning, message understanding, and work order creation. Our AI processing providers are Anthropic and OpenRouter. We do not use your data to train AI models, and we use these providers under API terms that do not grant them the right to use your data to train their generally available models.
  • To support you. Answering questions, investigating issues.
  • To bill you. Via Stripe.
  • To improve the service. We may use data in aggregated or de-identified form (so it no longer identifies your shop or your customers) to understand usage and make the product better.

We do not sell personal information. We do not share it with third parties for their advertising.

We share data with the service providers below because the product runs on them. Each processes data only to provide its service to us.

We may also disclose data if required by law, or as part of a business transaction such as a merger or acquisition (in which case this policy continues to apply to data collected under it).

Single-tenant architecture

Each shop runs on its own isolated deployment with its own database and its own AI agents. Shops do not share a database, and one shop’s data is not used to serve another shop.

Security

We take reasonable administrative and technical measures to protect data: encryption in transit (TLS), encryption at rest through our database provider, authentication on all product access, single-tenant isolation between shops, and secrets management for credentials. No system is perfectly secure, and we do not claim ours is — but we treat security as a core engineering responsibility, and if we discover a breach affecting your data we will notify you promptly, consistent with applicable law.

We are a small company and do not currently hold formal security certifications (such as SOC 2). We’d rather tell you that plainly than imply otherwise.

Retention and deletion

We retain your data for as long as your subscription is active. At any time, whether or not you are cancelling:

  • You can request a complete export of your shop’s data — records and photos — and we will provide it within 7 days.
  • You can request deletion. After the export window, we delete your shop’s data within 60 days of your request, except records we are legally required to keep (such as our own tax and financial records).
  • Backups age out on a rolling basis after primary deletion.

Shops using Just Talk Shop’s refrigerant tracking remain the responsible record-keepers under EPA regulations — export your records before your data is deleted.

Your rights and choices

If you’re a Just Talk Shop user, you can access and correct your account information in the product, or contact us at hello@justtalkshop.com to access, correct, export, or delete personal information we hold about you. We will respond to reasonable requests promptly. We do not discriminate against anyone for exercising privacy rights.

For residents of states with consumer privacy laws (such as California): we do not sell personal information and we do not use it for cross-context behavioral advertising. You may contact us at the address above with any request regarding your personal information.

Children

Just Talk Shop is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 16.

Changes to this policy

When we change this policy, we’ll update the date at the top. For material changes affecting active subscribers, we’ll notify shops directly (for example, by email).
